Reservation Method
General Reservation
    • Application Period 2 months ~ 3 weeks prior to date for use
    • Application Process
      1. ① Check available hours
      2. ② Submit documents (use Electronic document approval system)
        • Use Electronic document approval system(Recipient: Gwanak Residence Halls) or visit the Administration office in person
        • Required content: Purpose of the event, date, number of participants, and contact information of the host of the event
        • Required file attachments: Application for reservation, Consent form for facilities, Plan form for facilities (a copy of each)
      3. ③ Receive official documents for approval
      4. ④ Make a payment
      5. ⑤ Reservation confirmation
    • Available Range for Reservation
      1. ① Official event of the department
      2. ② Reservation from the department level is limited to once every 2 months
      3. ③ Not allowed to use the Hall for commercial purposes other than cultural art, research, education, etc.
    • Other Detail
      1. ① Phone call or verbal reservations are not permitted
      2. ② The main host of the event must be the applicant
      3. ③ Reservation will be automatically canceled if payment is not made within the deadline

If you use the Hall for more than 3 hours, an additional fee of 50,000 won per hour will be charged

  • Name of applicant and depositor must be the same
  • Write down the reservation date in front of the depositor’s name (예: 10.1 John)
Cancellation·Refund
Cancellation Process
    • - Submit the ‘Application for cancellation and refund’
Refund
    • - Refund within 2 weeks after confirmation of cancellation
      1. ① Cancellation at least 3 days before the reserved date will result in a 50% refund of the total payment
      2. ② No refund 1~3 days prior to the reserved date
      3. ③ Cancellation on the day of your reservation due to natural disasters such as earthquakes or infectious diseases (relevant to government guidelines) is exceptions (100% refund)
      4. ※ In the case of ③, the ‘Application for cancellation and refund’ must be submitted within 3 days after the relevant date.
Rules of Use
    • Not allowed to use the Hall for commercial purposes other than cultural art, research, education, etc. Hall must be used in accordance with the permitted hours, number of people and purpose No band performance (amplifier facilities are not allowed) No smoking, cooking or using firearms If facilities damaged, users should restore and make compensation for damages Various equipment installed in the Gaon Hall is prohibited from being moved or taken outside Follow the instructions and requirements from the administrator Before applying for the reservation, you must carefully read the ‘Facilities Usage Guidelines’
